Who Sets Up the Furniture at the Venue, Movers or Planner?
Last updated: October 2026
Both, working together.
The planner directs our crew. Our foreman leads the crew alongside the planner. The planner knows what the room should look like when the doors open. Our foreman knows how to get every piece there safely and in the right order. Put those two together and the room comes together fast.
The planner's job
The event planner owns the vision. They know where the bar goes, which way the chairs face, and where the art hangs so guests see it first. On setup day, they tell our crew where each piece belongs.
That might be a gallery curator placing sculptures, a festival organizer laying out a food vendor area, or a stager setting up a living room for listing photos. Whoever is running the event is the one who decides where things go.
The foreman's job
Our foreman runs the crew. They take the planner's direction and turn it into a plan for the move. What comes off the truck first. Who carries what. How the heavy pieces get through the venue's doors without damaging the floors or the walls.
The foreman is also the person the planner talks to. One point of contact on our side means the planner doesn't have to track down individual movers in the middle of a busy setup.
Why this works better
When nobody is directing, setup turns into guessing, and guessing at a venue with a hard opening time is how a crew ends up moving the same sofa three times while the caterers wait to set their tables. Pieces get placed, moved, and moved again. When the planner directs and the foreman leads, each piece gets carried to its spot once.
It also keeps responsibility clear. The planner decides where things go. We make sure they get there in one piece.
Getting ready for setup day
Send a layout if you have one. A floor plan or a sketch helps our foreman plan the unload before the truck arrives.
Tell us the venue's rules. Loading dock times, elevator access, and anything about protecting floors. If the venue needs a certificate of insurance, we send it for free, usually the same day.
Be there, or have someone there. The person directing needs to be on site when the crew arrives.
Plan for teardown too. If we're bringing pieces back afterward, the same approach applies at the end of the night.
Between events
If your pieces move from event to event, they don't have to go back to your warehouse each time. We can store them between events and deliver them to the next one. Read can items go to storage between events.
The events we move
We've moved for gallery installs, restaurant food festivals, and more. We also work with home stagers, realtors, and other household service providers. Read do you work with home stagers and other service providers, and see our guide to event and special moving in Chicago.
Venue setup is part of our events and special moving service, one of our moving services.
