Moving a business isn't just moving a household with more computers. The logistics run on a completely different set of constraints, when you can move, who lets you in, what has to work Monday morning, and who's liable when something goes wrong. A moving crew that handles homes beautifully can still be the wrong crew for an office if they haven't done offices before.

Here's what actually makes an office move different, honestly, and what to look for when you're picking the crew.

The clock is what makes it a commercial move

Homes move on Saturday morning. Businesses can't. So the first question about any office move isn't "how" but "when," and the "when" is what shapes everything else.

Evenings, overnights, and weekends are how most office moves happen, because that's the only time you can be closed. A crew that only works standard hours isn't a serious option for a commercial move.

The window is short. A typical office move plan is: close Friday at 5 p.m., new office live Monday at 8 a.m. That's 63 hours to disconnect everything, move it, reconnect it, and be ready for business. The move itself is often just one segment of that; the crew has to hit its window cleanly or the whole plan slides.

We work seven days a week and every hour of the day, which is genuinely the base requirement for commercial work. Nights and weekends aren't premium-priced with us; they're just when we work.

Building logistics multiply

A house has an owner. A commercial building has a management company, a tenant, sometimes a landlord, sometimes a general contractor doing your fit-out, and usually a very specific rulebook.

Certificate of Insurance (COI) at both ends. Nearly every commercial building in Chicagoland requires a COI on file before a mover works. Requirements vary building to building, specific liability limits, specific additional insureds. Send us the requirements as soon as your building sends them, we handle the COI same-day and always free.

Freight elevator and dock windows. Reserved with the building, one window at each end. The move has to fit inside those reserved windows or it stops. A crew that hasn't done commercial work often underestimates how much this dominates the day.

Timing between buildings. Load out of one building's window and into another building's window, without the truck sitting idle between. On a Friday-night-to-Monday-morning move, wasted time is compounded time.

After-hours access. Most commercial buildings have specific after-hours procedures: security desk check-in, elevator programming, HVAC turned on, specific personnel notified. We coordinate with your building's management to make sure all of it's set before we arrive.

The furniture is different

Office furniture isn't just heavier residential furniture; it's often a completely different system.

Modular workstations come apart in specific ways, and go back together with pieces that have to match specific configurations. On a well-planned office move, we ask for the new-space floor plan ahead of time so the crew knows what's going where and how each workstation should be reconfigured. If your workstations are from a specific manufacturer with a specific installation process, that installation is often best handled by that manufacturer's local dealer, and we'll say so upfront. We disassemble, transport, and reassemble standard modular furniture; genuinely proprietary systems may need their own installer.

Conference room and executive furniture gets the same care as high-end residential pieces: blanket-wrapped, corners padded, moved with the same craft. A boardroom table, a leather executive chair, or a lobby art piece deserves the same treatment we'd give equivalent items in a home.

File cabinets and storage are heavy, but their contents (files, documents) usually should not travel loaded. Have staff empty vertical files into labeled bankers boxes before moving day; the cabinets themselves travel much better empty.

IT and equipment: what we do and don't do

Being honest here matters, because getting it wrong costs businesses real money.

What we do: move the physical equipment carefully. Monitors, workstations, printers, copiers, server racks. Everything gets wrapped, carried, transported, and placed in the correct spot at the new location.

What we don't do: IT setup, cable management, network configuration, or specialized data-center relocation. When we move a server rack, we're physically moving the rack; the disconnection before and the reconnection after are your IT team's or your IT vendor's job, both because they're better at it and because it belongs to whoever's accountable if the network doesn't come up.

For most Chicagoland businesses, the honest workflow is: IT team backs up and shuts down equipment Friday afternoon. We move it that evening. IT team reconnects and tests Saturday and Sunday. Business runs Monday morning. That division of labor is what actually keeps downtime short.

For specialized data-center moves, large server rooms with active production equipment, complex networking, environmental requirements, we'd steer you to a specialized data-center relocation firm. Same principle we apply to fine art and museum-grade antiques: knowing the line is part of doing the work well.

Office decommissioning

Most commercial leases require the old space to be returned in a specific condition, often "broom-clean." That means everything you're not keeping has to be out, and that "everything" usually includes furniture the new space isn't taking.

We handle this as part of the same move. Old furniture and equipment can be:

• Sold through a used-office-furniture broker (often coordinated by you before moving day)
• Donated through our donation pickup service, which finds a second life for usable pieces
• Hauled through our furniture removal and appliance removal services for anything past its useful life
• Estate-cleaned-out for larger decommissions where the whole floor needs to be cleared

One crew, one project, and the old space genuinely does end up broom-clean.

The material efficiency worth naming

Business owners often ask what materials we use and what happens to them. Our moving blankets are reusable, they come with us on every move, get wrapped around your equipment, come off at the new location, and go into rotation on the next job. Same with wardrobe boxes, TV boxes, and the labor-only equipment. Nothing gets thrown out that could serve the next customer.

For our packing materials, boxes, tape, paper, shrink wrap, we can take away and recycle what we've brought at the end of the move, or leave supplies with you if you have ongoing storage needs.

What to actually look for in an office mover

If you're evaluating movers for a commercial move:

• Do they work nights and weekends without a premium? Most commercial moves require it; a firm that charges surge pricing for those hours will run up your bill.
• Can they handle the COI at both ends? Same-day, free, with your building's specific requirements. If they hesitate, they haven't done this often.
• Do they have insurance covering the value of your equipment? Ask what's covered and what isn't. Ours is spelled out in your quote.
• Are they willing to say what they don't do? A firm claiming to handle "everything from moving to IT setup to fit-out" is either overpromising or subcontracting; either way, know before you book.
• Will they walk the space with you? In-person or by video. The estimate that came from a walkthrough is usually the estimate that holds.

The real cost of "saving" on movers

Choosing a mover who doesn't do commercial work regularly, for an office move, often creates hidden costs: the freight elevator window that gets missed, the COI that gets rejected on submission, the workstation that gets reassembled wrong, the piece that gets damaged because nobody planned for the loading dock's clearance. Those costs, in downtime and rework, dwarf what you'd have saved on the estimate.

The specialist premium isn't a premium; it's the price of doing the work correctly the first time.
