Budgeting for an Office Move in Chicago: What Actually Drives the Cost

An office move isn't one bill; it's a project with several. If you're the person building the budget, the trick is knowing which costs actually belong to the moving company, which don't, and where the ranges really sit. We've been moving Chicago businesses since 1982, everything from small studios to full-floor offices, and here's the honest picture, from the moving side, of what to expect and where.

What the moving portion actually covers

The move itself, the crews, the trucks, the materials, the labor, tends to be smaller as a share of an office relocation budget than most owners expect. What we quote covers:

The crew and truck time. Priced by the size of the crew and the hours the job requires, with a free non-binding estimate up front. No seasonal surge, no weekend or month-end premium, no deposit. Just like our residential work.

Materials. Moving blankets, shrink wrap, tape, and the wardrobe boxes and standard boxes needed for the job. Materials that show up on the day come with the crew, not with an added invoice.

Protection. Floor runners along carry paths, doorway padding, and blanket-wrapping on furniture. Both the old and new buildings finish the day in the condition they started, which matters more for a commercial lease than a home, since restoration language in commercial leases usually holds you responsible for both.

Packing and unpacking, if you want it. Our full packing service will crate up your workstations, files, and kitchens; equally common is packing the desks yourselves and having us handle the furniture and heavy pieces. Both are normal, and the estimate reflects whichever version you choose.

Loading and unloading only, if you're using your own truck or a portable container: our loading and unloading service is priced for exactly that.

What actually moves the moving number

Since our rates don't vary by the calendar, three things do most of the work on a commercial quote:

How much is going. Furniture volume, filing cabinets, workstations, common-area pieces. A quick walkthrough (in person or by video) gets us to a real number faster than a phone description.

Building rules at both ends. Commercial buildings almost always require a certificate of insurance before a mover works, and most restrict move dates to evenings or weekends. Loading docks have windows. Freight elevators need reservations. All of that is manageable, we handle the COI ourselves, usually same-day and free, and plan the crew's timing around the building windows, but the building's rules do shape the day. Tell us your building's requirements early and the schedule builds around them cleanly.

Access and parking. A dock at the door is faster than a long carry through a parking garage. Blocks that need posted parking permits get flagged before moving day.

What we don't quote, but you should budget for

Being straight about this saves everyone a call: several major costs on an office move sit outside a moving company's scope. Budget for them separately, with the right specialists:

Real estate and legal. Broker fees, security deposits (often two to six months of rent in a commercial lease, negotiated case by case), attorney review of the new lease, and "restoration" or "make-good" clauses on the old space, which can require returning it to its original condition. Your commercial broker and real-estate attorney own this side.

IT and infrastructure. Internet and phone provisioning at the new space (often a lead-time problem more than a cost problem), server relocation, cabling, and any hardware you're upgrading. Your IT team or a commercial IT vendor handles this. Some clients ask us to move server racks physically, which we can do carefully; the disconnection, reconnection, and configuration belong to IT.

Furniture, fit-out, and design. Any new furniture, workstations, or reconfiguration of the new space. Depending on scope, that's a furniture dealer, a commercial designer, or a general contractor.

Security systems. Access control, cameras, alarms at the new space. Handled by a commercial security installer.

We're mentioning these not because we do them, but because if your budget only accounts for the moving line, the surprises come from these other lines. A realistic office-move budget includes all of them.

The line item that isn't on the invoice: downtime

The biggest hidden cost of an office move is business days lost, and it's the one variable that pays the most attention to good planning. Two habits reduce it meaningfully:

Move outside business hours when the space is big enough to matter. Evening or weekend moves keep the team working through the transition and let the new space be ready Monday morning. Our crews work seven days a week; nights and weekends aren't premium-priced.

Stage the move if the operation can't stop. Departments moved in sequence, with the truck running multiple loads, can keep critical teams online while the rest transitions. The estimate handles a staged move as a single project rather than a series of separate ones.
